Information you provide directly

When you create an account or use our platform, we collect information you enter including your name, email address, business name, and billing information. As a childcare provider using KidKeeper, you may also enter information about the children and families in your care — including names, contact details, emergency contacts, health information, and attendance records.

Information collected automatically

When you visit our website or use our application, we automatically collect certain information including your IP address, browser type, device type, pages visited, and time spent on pages. We use cookies and similar tracking technologies to operate and improve the service.

Payment information

We use Stripe to process payments. KidKeeper does not store your credit card number or financial account details. Payment information is handled directly by Stripe in accordance with their privacy policy and PCI-DSS compliance standards.

We use the information we collect to:

  • Provide, operate, and maintain the KidKeeper platform
  • Process your subscription and billing
  • Send you service-related communications such as account confirmations, billing receipts, and support responses

4. Children’s Information

KidKeeper is a platform used by childcare providers to manage records about the children in their care. In this context, KidKeeper acts as a data processor — the childcare provider (our customer) is the data controller responsible for the child records they enter into the system.

We handle all child-related data with strict confidentiality. This data is never sold, shared with advertisers, or used for any purpose other than providing the KidKeeper service to the provider who entered it.

KidKeeper’s marketing website is not directed at children under 13 and we do not knowingly collect personal information from children for our own purposes.

5. How We Share Your Information

We do not sell or rent your personal information. We may share your information only in the following limited circumstances:

  • Service providers: We work with third-party service providers who help us operate our platform, including hosting providers, payment processors (Stripe), and email delivery services (Brevo). These providers are contractually obligated to handle your data only as directed by us.
  • Legal requirements: We may disclose your information if required by law, court order, or government request, or to protect the rights, safety, or property of KidKeeper or others.
  • Business transfers: If KidKeeper is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you in advance if this occurs.

6. Data Retention

We retain your account data for as long as your account is active. If you cancel your subscription, your data remains accessible for 30 days, after which it is scheduled for deletion from our active systems. Backups may retain data for a further period before being purged.

Financial transaction records may be retained longer as required by applicable tax and accounting laws.

7. Security

We take reasonable technical and organizational measures to protect your data against unauthorized access, alteration, disclosure, or destruction. Our platform is web-based and hosted on secure cloud infrastructure. All data is transmitted over encrypted HTTPS connections.

No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.

8. Cookies

We use cookies to keep you logged in, remember your preferences, and understand how you use our platform. Our website also uses a cookie consent banner — you can decline non-essential cookies when prompted.
